Filed against the right record

A signed lease goes on the lease, a receipt on the expense, a title deed on the property. Choose from 24 categories covering tenancy, identity, property records, maintenance and vendors, and billing.

Reminders before expiry

IDs, passports, insurance, compliance certificates and vendor contracts can carry an expiry date. A daily email lists what expires in 60, 30 and 7 days, or on the days you choose for that document.

Sensitive files stay private

National IDs, passports, KRA PINs, title deeds and proof of employment are only visible to owners, managers and agents. A caretaker or accountant never sees them.

Versions

Upload a new version of a document and the earlier ones are kept.

A record of who opened what

Every view and download is logged with who did it, so owners and managers can check who has looked at a file.

Stored privately

Files are kept in private storage and checked by their contents, not only their name, when they are uploaded.

Before you ask

What files can I upload?

PDF, images (JPG, PNG, WebP and HEIC), Word, Excel, text and CSV files, up to 25 MB each.

Who can see a tenant's ID?

Owners, managers and agents. Other staff, such as caretakers and accountants, can use Documents but never see ID documents, KRA PINs, title deeds or proof of employment.

Does it remind me when a lease is ending?

No. Lease dates belong to Rentals. Documents reminds you about files that expire, such as IDs, insurance and compliance certificates.

Who gets the expiry emails?

Active team members who can view documents. Anyone who is not allowed to see sensitive documents gets a digest without them.
