How it works

An inspection goes from a booked visit to a signed report. Each step below has to be finished before the next one opens.

  1. 01

    Book the visit

    Choose a check-in, check-out, routine visit or safety check, then the property, unit, tenant and date. The tenant is told by email or SMS when a visit is booked, moved or cancelled.

  2. 02

    Record what you find

    Work through the checklist and mark each item good, fair, poor, damaged or missing. Anything poor, damaged or missing needs a photo before the report can be submitted. Notes for the tenant and notes for your team are kept apart.

  3. 03

    Approve it

    An owner or manager approves the report or sends it back. Each checklist sets how many approvals it needs and who can give them. If the findings change after approval, the report goes back for approval.

  4. 04

    Send it to the tenant

    Check-in and check-out reports go to the tenant's portal. They can sign it, sign with comments, or dispute it, and comment on individual items.

  5. 05

    Compare at move-out

    A check-out report is compared with the approved check-in for the same unit and lease, so you can see what changed while they lived there.

Before you ask

Can tenants see my team's notes?

No. Tenants see the condition of each item, the photos and the notes written for them. Internal notes stay with your team.

Do routine visits go to the tenant as well?

No. Only check-in and check-out reports are sent to tenants to sign. Routine visits and safety checks stay with your team.

Can a caretaker carry out inspections?

Yes. Caretakers can book and carry out inspections. Approving a report is for owners and managers.

Do I have to build the checklists myself?

No. Three are ready to use: a condition report for moving in and out, a routine visit and a safety check. You can rename them and choose how many approvals each needs and who can give them.

Can I download a report as a PDF?

Not at the moment. Reports are read in PropertyView, by your team and by the tenant in their portal.
